Terms & Conditions

When you pay your deposit, we accept that you have read and understood these rules.

1. Rates apply

  • 1 caravan + caravan tent/rally and 1 small (2-man) tent per stand + 1 vehicle, or
  • 1 camper trailer & small tent per stand + 1 vehicle, or
  • 1 large (6–8 sleeper) or 2 tents (2 sleeper) + gazebo
  • 4 persons per site & 1 vehicle — maximum of 6 people at extra cost
  • Extra vehicle allowed at extra cost — not more than 2 per site
  • Tent houses: rate includes 1 vehicle, and no more persons than beds per tent
  • Rates may change without prior notice

2. Camping stands & tent houses

Any caravan, trailer with camp facilities, vehicle with camp facilities, roof tent vehicle, or tent will be classified as a caravan. If you camp with, for example, a 4x4 trailer, you need to book a stand per trailer — no "double-ups" will be allowed.

3. Payments

A deposit of 20% is required to secure your booking within 48 hours. The full payment is required 1 week before arrival. December high-season bookings require a 20% deposit, with full payment required before/on 18 December.

Please ensure that you use your invoice number as your payment reference. If we do not receive proof of payment, or payment for whatever reason is not made, the booking will automatically be cancelled.

4. Group bookings

The person who made the booking is responsible for the full payment. The group will not be allowed to put up camp if full payment is not received and proof delivered. No changes to group bookings will be accepted within 14 days of arrival. Group booking changes for December holidays must be made no later than 15 November. For all other holidays and long weekends, changes must be made no later than 30 days before arrival. A list with details of each person per stand is required.

5. Weekends

Cannot be split — the customer pays for both the Friday and Saturday night. The same rule applies for long weekends and public holidays.

Refunds

We do not accept any cancellations. No refunds for late arrivals or early departures. No refunds for short-notice cancellations, i.e.:

  • 21 days before arrival — "out of season"
  • 21 days before arrival — "midweek season"
  • 31 days before arrival — the June/July season
  • Not after 15 October — December/January season
  • Not after 10 February — March/April/May season, or 21 days prior for the September season

A cancellation fee (if applicable) on any refund is 25% of the total booking amount. No refunds are given for persons who did not arrive with the group or on the stand — if you booked for 5 people and only 4 arrive, no refund is given for the 5th. If you booked 5 stands and only 4 are occupied, you will still pay for 5 stands.

The person who made the booking is responsible for the payment. Your payment confirms your booking — wrong payments will not be refunded. Please make sure you use the correct booking/invoice number. Cancellations, changes, or bank detail updates must be given in writing. These conditions also apply to bookings made after the deadlines above.

7. Transfers of money

No transfers of money or bookings to another date or stand.

8. Stands

All stands are pre-booked. Please report at reception before setting up camp — management has the right to transfer stands without prior notice. 15-amp electrical points are available at caravan sites.

9. Times

Arrival: 12:00–18:00. Departure: 11:00 (you're welcome to use the facilities until 15:00). Our next guests typically arrive at lunchtime — please ask reception if you'd like to stay a little longer.

10. Key and tag deposit

$10 for campsites and $25 for tent houses (cash only) on arrival — refundable if handed in before 11:00 on your day of departure. You may use the facilities until 15:00, but you'll need to have vacated your stand or tent house.

12. Groundsheets

Only open-weave groundsheets — no solid sheets.

13. Visitors

Visitors and extra vehicles are at an extra cost (maximum 6 people per site) — please make prior arrangements at reception.

14–27. General rules

  • No rollerblades, skateboards, scooters, or bicycles near the shop, pool area, ablutions, trampolines, putt-putt, or Fire Pit Pavilion/hall
  • No noise after 22:00 — music, radios and TVs must be played so that only you can hear them; only resort-organised music may be played in public areas
  • Speed limit: 20 mph, dead slow in camp — children have right of way
  • No motorcycles, golf carts, or quad bikes allowed
  • Fires only in the braais provided at the stand/tent house — gathering wood is prohibited; firewood is for sale at the shop
  • Ablutions: children under 10 must be supervised by an adult, including in family bathrooms. Shared ablutions are cleaned regularly, but please leave them as you'd like to find them (camp etiquette). Private ablutions are cleaned by the visitor, though daily cleaning can be arranged at reception
  • Trampolines: no smoking, eating, or drinking, and no shoes — open 07:30 to 19:00
  • Wild animals are dangerous — please don't touch or feed them. Whispering Pines Resort takes no responsibility for injuries or damage arising from site equipment, services or the environment; facilities are used at your own risk
  • No day visitors, except by prior arrangement
  • Whispering Pines Resort is not responsible for information provided by any other company, website, travel agency or person that is later found to be incorrect — no claims will be considered on this basis
  • Whispering Pines Resort cannot be held responsible for a lack of electricity or power failures arising from the local municipality/Eskom

25. Office hours

  • Monday – Thursday: 08:00 – 16:30
  • Friday: 08:00 – 18:30
  • Saturday: 08:00 – 13:00
  • Sunday: 08:30 – 11:00
  • Public holiday: 08:00 – 13:00

Office hours may change without prior notice.

26. Child policy

  • Children have the right of way in the camp
  • All children should be supervised by adults in ablutions, the restaurant, and swimming pools
  • Parents are asked to look after their own children

27. Dress code

Please be dressed in appropriate clothing — no topless costumes or G-strings, and no underwear worn as swimwear. Babies and toddlers must be dressed. Naked persons will be asked to leave the premises immediately.

No firearms allowed on the resort.

No visitors allowed after 12:00.

No intoxicated drivers on the resort.

No driving around on the premises without a valid driver's licence.
